Definition:
Position is responsible for assisting the Business Administrator with financial oversight of financial activity including accounting, auditing, purchasing, grants and accounts payable management, payroll, revenue collection and supervision of business office staff.
Essential Functions/Duties and Responsibilities:
- Assist Business Administrator as needed
- Supervise Business Department staff
- Manage grants including financial monitoring of spending, requesting funds, assisting grant writers and administrators with guidelines
- Complete final reports for DESE and EEC
- Manage monthly accounts payable bill warrants including preparing invoices for payment and entering into MUNIS software for processing
- Prepare bill warrant for school committee approval and submission to Auditor
- Participate in bi-weekly payroll approval by approving time sheets and proofing completed payroll reports for errors.
- Coordinate teacher summer and other special payrolls
- Assist with monitoring the budget through financial reports and prepare journal entries and budget transfers as needed
- Perform a variety of functions for the End of Year Report
- Generate extensive reports using MUNIS and Excel
- Serve as liaison for departments, teachers, City Hall staff and the public on school finance matters
- Manage and monitor school department petty cash and complete related activities and records with the City Treasurer.
- Monitor reconciling of Student Activity Fund agency and checking accounts
- Perform special projects as requested
- Perform a variety of related duties as assigned.
Judgment:

Judgment is used in analyzing specific situations to determine appropriate actions. Requires understanding, interpreting and applying federal, state and local regulations.

The work consists of the practical application of a variety of concepts, practices and specialized techniques relating to a professional or technical field. Assignments typically involve evaluation and interpretation of factors, conditions or unusual circumstances; evaluating compliance with established standards or criteria; gathering, analyzing and evaluating facts or data; or determining the methods to accomplish the work.
Confidentiality:
The employee has access to confidential and sensitive information in the course of performing work including personnel and financial information.
Education and Experience:
A Bachelor’s degree in finance, accounting, business administration or three to five years of relevant experience required. Three years experience in the business office of a school district preferred; or any equivalent combination of education, training and experience.
Physical, Motor, and Visual Skills:
Physical Skills The work involves sitting, standing, walking and stooping. May be required to lift objects such as files, boxes of papers, office supplies, and office equipment weighing up to 30 pounds.
Motor Skills The job requires motor skills for activities such as moving objects and using office equipment, including but not limited to telephones, personal computers, handheld technology, and other office equipment.
Visual Skills Visual demands require routinely reading documents for general understanding and analytical purposes.
