Position:  Administrative Assistant for the Office of Diversity, Equity, Inclusion and Belonging

Position Type: Full-Time; 12-months

Location: Central Office

Reports to: Director of Diversity, Equity, Inclusion and Belonging (DEIB)

Affiliation: SEIU Administrative Assistant

Hourly: Per the SEIU contract; $26.05 – $32.28 per hour depending on experience

Priority #3 – Create a learning community that provides authentic, relevant, and engaging opportunities

About The Office of Diversity, Equity, Inclusion and Belonging (DEIB)

The Office of Diversity, Equity, Inclusion, and Belonging (DEIB) is guided by six goals that directly correlate with the Superintendent’s goals and are tightly aligned with the Strategy for Success Plan. Our SY 24-25 DEIB Goals aim to increase Stakeholder Engagement, deepen our Restorative Practices and Curate Student Voice by developing student leadership opportunities.

The Administrative Assistant will carry out a variety of administrative tasks assigned by the Director of DEIB. These tasks/responsibilities include the following:

Responsibilities:

Produce reports/provide information & data
Maintain data across various systems
Facilitate onboarding for interns/volunteers
Assist with various projects
Assists in typing and proofing word-processed materials
Assists in developing weekly newsletters
Primary person in the reception of guests including answering and routing of telephone calls
Work closely with the Director of Diversity, Equity, Inclusion, and Belonging (DEIB) to assist with scheduling and tracking of DEIB activities/special projects, and tracking DEIB  budget and grants.
Assists in the creation of all records, and other paperwork as required by the School Committee, the State Department of Education, and the Federal Government, or paperwork that may be appropriate to the school’s administration.
Assists DEIB Director with procurement and accounting, including vendor communication, purchase order and requisition entry, and receipt of shipments.
Performs data entry of student records including but not limited to biographical, academic, confidential, enrollment, withdrawal, scheduling information, and pupil progress, as requested.
Maintains high standards of confidentiality and accuracy.
Maintains a high level of personal integrity, and a strong work ethic.
Assists other office personnel in periods of high demand and/or other emergent requests for cooperative support.
Performs other duties and assumes such other responsibilities that may be assigned by the Director of DEIB his/her designee or as required by law, code, regulation, or School Committee policy
Qualifications/Skills:

At least 2 years of relevant experience preferred
Education typically gained through the attainment of Associates Degree or higher
Excellent interpersonal skills to deal effectively and professionally with various stakeholders (employees, parents, city officials, community members)
Effective communication skills (verbal and written)
Ability to prioritize multiple responsibilities and manage them effectively
Commitment to maintain confidentiality at all times
Ability to work both cooperatively and independently
Must be detail-oriented and organized
Intermediate skill level in Microsoft Word and Excel preferred
Experience with finance, attendance management, and HRIS systems
Experience with G-Suite preferred
